*Position Summary:* Under the direct supervision of the City Administrator, the Executive Assistant is a key professional responsible for providing high-level support by conducting complex administrative work, research, managing special projects, and coordinating communications.
This role demands autonomy, sound judgment, and superior organizational skills to support the City Administrator's mission, strategic goals, and objectives.
Additionally, the Assistant plays a crucial role in developing and managing the city's communications and media initiatives, ensuring a consistent and positive city image.
*Key Responsibilities:*
* Provide administrative support, including meeting coordination, information management, project tracking, and managing the City Administrator’s schedule to ensure efficient time management.
* Conduct complex and sensitive administrative analyses, research, and manage assigned special projects.
* Develop and implement communication and marketing plans, manage social media presence, and produce engaging content.
* Serve as a liaison with community groups as needed, coordinate city-wide events, and support community engagement efforts.
* Assist in drafting documents, managing agendas, and maintaining effective office protocols.
* Order supplies and manage logistical arrangements for city functions.
* Manage citizen inquiries, ensuring timely and accurate responses, and facilitating effective communication between the public and the City Administrator.
*Requirements:*
* *Experience:* Minimum of two (2) years related experience or an equivalent combination of education and experience.
Preference for candidates with five (5) years of increasingly responsible office administrative or secretarial experience.
* *Education:* High School Diploma or equivalent required; Associate’s degree in a related field or College degree preferred.
* *Skills:* Proficiency in Microsoft Office Suite, excellent organizational, public relations, oral, and written communication skills.
Ability to interpret data, manage confidential information, and maintain professionalism in public interactions.
* *Certifications:* Valid driver’s license, bondable, possession of a Kansas commission as a Notary Public preferred.
* *Physical Requirements:* Ability to work in an office setting and perform tasks requiring manual dexterity.
Some travel may be necessary.
*Other Requirements:*
* Must pass a background check and pre-employment drug screen.
* Demonstrated ability to solve problems, make decisions, and manage time effectively.
* No direct supervisory responsibilities but must work effectively with all levels of city staff and the public.
