Job Description Summary:
The Assistant Coordinator helps coordinate educational activities between attending physicians, residents, fellows and institutional and regulatory administrative offices.
The Assistant Coordinator provides administrative assistance to program director and chief residents.
The Assistant Coordinator will be tasked with maintaining licensure as well as other forms of annual education necessary for residents and fellows to complete their training.
The Assistant Coordinator provides services to individuals impacted by a variety of behavioral health issues, recognizing that the individuals we serve often times have experienced trauma that affects their development and adjustment.
The Assistant Coordinator demonstrates a warm and welcoming empathic, hopeful attitude, conveying a philosophy of dual recovery.
The Assistant Coordinator will be trained in trauma-informed care and will work to help provide services in an environment that is sensitive and responsive which will prevent victimization, abuse, or trauma as a result of the care received.
The Assistant Coordinator will work closely with the program direct and residency coordinator to maintain reports required for the HRSA grant funding source.
The Assistant Coordinator reports to the Residency Program Director.
Responsibilities:
Coordinate day-to-day educational activities of residents, including clinical rotation,
conference, and in-house call schedules.
Maintain resident files, including confidential correspondence, teaching and
performance evaluations.
Liaison and communication with all appropriate faculty, medical schools and affiliated hospitals.
Compose, prepare and distribute correspondence, agendas, reports, schedules and
calendars.
Coordinate and maintain resident licensure/certifications/memberships.
Receive and screen telephone calls regarding residency rotations, and other training
issues and handles them efficiently and effectively.
Coordinate yearly revision of resident handbooks, orientation, and assist in orientation
for incoming residents and students.
Prepare and monitor teaching and affiliation agreements
Coordinate resident In-Training examinations
Prepare, distribute, and collect quarterly and annual resident performance evaluations
Prepare GMEC committee meeting notifications, agendas, and meeting meetings.
Coordinate residency graduation ceremony and other residency activities.
Coordinate residency interviews as directed by program directors and maintains files of interviewed applicants.
Assist in disbursement of residents’ educational stipend fund reimbursements and keeps an accurate record of all disbursements.
Perform all other duties as assigned.

Physical Requirements:
Normal office environment.
Typical physical demands include prolonged sitting, frequent standing, bending, and stooping.
Requires normal range of hearing and manual dexterity sufficient to operate keyboard, telephone, photocopier, calculator, and other office equipment as needed.
