The Administrative Assistant performs clerical duties such as filing, scheduling appointments, and assisting other staff as needed, and special projects as requested by owners and managers, as well as oversees the Administration office’s activities.
The ideal person for this role would have experience as an office manager or assistant for a plumber, trash/recycling company, construction, distributer, warehouse, or something else along those lines.
This person would need to be more of a ‘hands on’ flexible person that doesn't have a vision of 90% office time, because some weeks may be more working away from their office space than at it.
This person would ideally need experience with planning events, and is 100% a problem solver.
Duties and Responsibilities:
Assists in the day-to-day operations of the Administration Department.
Answers phones to direct calls or provide information.
Initiates and responds to emails in a mature and professional manner.
Enters information as directed into databases and/or software programs.
Makes travel, accommodations, and/or entertainment arrangements as requested.
Books appointments and oversees owner’s calendar daily.
Researches, compiles and populates reports and power point presentations.
Orders material, supplies, and equipment as needed.
Performs special projects as requested by management.
Including event physical set-up (and tear down) of company events, plus execute and perform promotional initiatives such as employee fun days.
Searches files, databases or reference material, proofreading documents, and records to ensure accuracy of information.
Schedules & coordinates operational and company activities an outings as directed.
Arranges logistics, food, and set up for State of the Company and other events.
Prepares documentation for contracts, transactions, or regulatory compliance.
Ensures the Pickup & Delivery assignments are performed by the Delivery department, filling in as needed for these duties.
Fulfills key role in organizing and planning company party / picnic events with assistance by HR department as needed.
This is a ‘hands on’ job and on occasion, will require more than sitting at a desk and working the computer and phone obligations.
Must be physically able to do so.
Performs other duties as directed.
Job Requirements:
High School Diploma required with a preference of an associate or bachelor’s degree in Management, Communications, Computer Technology, or other related business field.
Need strong interpersonal, communication, problem solving, and organizational skills.
Proficiency with MS Office, especially Word & Excel, & keyboarding experience required.
Must be able to maintain a high level of confidentiality.
Should possess a high degree of data entry, teamwork, flexibility, and decision-making skills.
Must be dependable and a self-starter.
Able to lift 40 #.
Ability to physically work outdoors when required as pertains to event set up, errands, special projects and related.
Shift:
Mon-Fri, Day shift
Some overtime may occasionally be required.

Working Conditions:
Job will include periods of standing, walking, sitting, reaching, stooping/kneeling, and bending.
Stair climbing and walking on uneven surfaces will be present.

Valid driver’s license required for on and offsite driving duties.
