The Montgomery County Treasurer’s Office by state law is responsible for the tax billing, collection and distribution of tax money for the state, county, and cities and all other taxing entities.
The Treasurer is also responsible for all other money belonging to Montgomery County and/or directed by law to be paid to the Treasurer.
In addition, the Treasurer serves as an agent for the State Department of Revenue, Division of Vehicles regarding the administration of the state motor vehicle title and registration laws.
The Treasurer is looking to hire a Clerk to support tax collection and payment.
The Clerk reports directly to the treasurer and works in an office environment located in the County Court House.
ADMINISTRATIVE DUTIES
Greets visitors in person and by telephone, responding to questions or locating the appropriate staff or office.
Conducts routine office duties including copying, faxing, emailing, etc,
Coordinates and processes incoming and outgoing mail.
Maintains and stocks office supplies, i.
e.
, paper, envelopes, forms, receipts, etc.
Prepares office invoices/claims for payment and entry.
Prepares change orders from the bank as necessary.
Counts and reconciles daily receipts.
Collect and take outgoing mail to the mail room for processing.
TAX PAYMENT PROCESSING
Balance tax payments and balance cash drawer daily.
Calculate and quote payoff amounts and/or looking up mill levies, legal descriptions, appraised and assessed values on properties for real estate agencies, mortgage companies, title companies, bank or loan representatives, individuals, etc.
Answer emails from property owners, bank or loan representatives, title companies, real estate agents, and general business representatives.
Prepare change of address and/or phone number changes for the county clerk and appraisers offices.
Correspond by phone or letter with customers as needed to assist with issues preventing their payment from being processed.
Mail daily receipts, bulk yearly tax statements and past due personal property notices and warrants.
Process credit card payments.
QUALIFICATIONS:
This position requires knowledge of standard office procedures, record keeping, and use of modern business machines.
This position requires strong computer skills in Microsoft Office products, proficiency in the use of the internet and various other office software systems, and have the ability to type and use a 10-key with accuracy.
This position must be able to communicate professionally and effectively both verbally and in writing using proper spelling and grammar, greet and receive the public with courtesy and tact at all times – including during situations that may be confrontational and unpleasant, follow written and oral instructions, and maintain cooperative relationships with customers and coworkers.
The person in this position must also have the ability to think analytically, multi-task, prioritize, and organize.
The ability to receive cash payments, count change and balance a cash drawer are required and will be tested in the interview.
EDUCATION & EXPERIENCE:
The required knowledge, skills and abilities are typically acquired through a combination of education and experience equivalent to a high school diploma and one to two (1-2) years of related work experience.
