_*Job Summary:*_ We are seeking a detail-oriented and organized Accounting Assistant/Secretary to join our team.
This role will be a dual-role working as the secretary for the company CEO and as an accounting assistant for various divisions of the company.
The Secretary will be responsible for base administrative functions including calendar management, scheduling appointments, organizing files, providing information to vendors and customers, overseeing general public relationship functions, preparing, typing, and collating reports, keeping a cleanly office space, greeting visitors to the office, and others tasks as needed by the CEO of the company.
The Accounting Assistant will be responsible for assisting with various accounting tasks and supporting the finance department, this shall include AR/AP functions, general ledger entries, compiling financial information, and developing financial reports for review by the company executives.
The ideal candidate will have experience with QuickBooks, ADP, and possess strong technical accounting skills.
Background knowledge in ERP systems, including Centerpoint, Intact, or SAP is a benefit.
*Job Duties:* * Calendar management and appointment scheduling for the CEO * Public Relations including advertising, marketing support, and handling certain public affairs * Keeping a clean office environment and a friendly and welcoming attitude towards visitors * Developing, typing, and collating reports, including operational and financial reports * Working with company employees to receive necessary information daily * Answering company phones and directing to appropriate parties * Organizing files * Assist with accounts payable and accounts receivable processes * Prepare and process invoices, purchase orders, and expense reports * Perform credit analysis on customers and vendors * Assist with journal entries and general ledger maintenance * Conduct account reconciliation and balance sheet reconciliation * Assist with month-end and year-end closing processes * Support the preparation of financial statements and reports * Assist with payroll processing using ADP software * Perform data entry tasks accurately and efficiently * Maintain accurate records of financial transactions * Develop standard financial reports for review by company executives _*Desired Skills:*_ - Proficiency in QuickBooks and ADP software - Strong technical accounting skills - Knowledge of double-entry bookkeeping principles - Excellent attention to detail and accuracy - Strong analytical and problem-solving abilities - Ability to prioritize tasks and meet deadlines - Proficient in Microsoft Excel and other Office applications - Excellent written and verbal communication skills This is a full-time position offering competitive compensation based on experience.
